Job Description
The Assistant Manager (Faculty Operations & Support) role in the School of Civil and Environmental Engineering (CEE) is responsible for managing and coordinating the School’s administrative operations, facilities and space management, examination support, resource management and operational improvement initiatives. The role works closely with faculty, staff, university departments, internal stakeholders and external vendors to ensure smooth delivery of services, effective resource utilisation and compliance with institutional policies and procedures. Job Responsibilities: Oversee daily administrative operations, including office services, room and space administration, access management, enquiries management and service delivery standards. Manage office space planning, renovation works, relocation projects, furniture procurement, maintenance coordination and facilities improvement initiatives. Oversee asset management, inventory records, access control and shared facilities to ensure proper accountability and compliance. Manage stakeholder and vendor relationships to support procurement, maintenance, events and operational activities. Develop and improve SOPs, workflows and operational processes to enhance efficiency and service quality. Prepare operational reports, analyse data and provide recommendations to support management decision-making. Coordinate examination administration and logistics, including venue arrangements, examination processes and quality assurance activities Ensure compliance with university policies, governance requirements, safety procedures and audit requirements. Job Requirements: Bachelor's degree from a recognised university. At least 3 to 5 years of relevant experience in administration, operations, facilities management or a similar role, preferably in a higher education or large organisational environment. Experience in managing administrative operations, facilities coordination, project coordination and stakeholder engagement. Strong organisational, analytical and problem-solving skills with the ability to manage multiple priorities. Good knowledge of procurement processes, vendor management, compliance requirements and operational procedures. Proficient in Microsoft Office applications; experience with enterprise systems will be advantageous.
